Operations & Administration Officer

Are you an experienced administration professional who enjoys a role with variety? Would you relish a part-time role close to home? We are looking for a savvy office all-rounder to join our team.

  • Campbelltown location – parking available and close to public transport
  • Fixed term 12-month contract with immediate start available
  • Part-time (21 hours per week) with flexible days/hours
  • Attractive remuneration (SCHCADS Modern Award Level 3 ($32.75 – $35.00/hr) + superannuation, + TIL system + salary packaging option which increases take home pay)

Role

The focus of this role is to provide exceptional operational, administrative and finance support to the Finance & Operations Coordinator and CEO. You will perform a variety of duties, including:

  • Providing excellent customer service – greeting visitors and managing the core reception function, including directing and managing phone enquiries
  • Liaising with stakeholders, suppliers, supporters, businesses and government as directed
  • Providing administrative support to the CEO – coordination of meetings; preparation of correspondence; diary management; minute taking, as well as assisting with compliance and governance requirements
  • Document management – maintaining physical and digital record keeping
  • Assisting with financial functions – invoicing, petty cash, processing payments
  • Purchasing and contract functions – sourcing quotes; seeking best value for purchases and ordering as required
  • Working with digital systems, including those for workflow/task management, customer engagement and database platforms
  • Collating, maintaining, and analysing data
  • Facilities management – coordinate with suppliers and service providers for site maintenance and repairs
  • Supporting and contributing to the Information, Communication and Technology Program
  • Assisting and contributing to the Quality Improvement Program – policy, procedure, document and form creation and updates

The successful applicant will also have the opportunity to assist other programs when required.

Essential Criteria

  1. Relevant tertiary qualifications in Business Administration, Business, Accounting, Digital Operations, Communications or Events Management
  2. At least 3 years’ experience in similar role
  3. Strong administrative, organisational, and time management skills
  4. Attention to detail with strong writing, proofreading, and effective communication skills
  5. Strong numeracy skills and experience with financial administration
  6. Solid experience using Zoom, Microsoft Word, Excel, Publisher, Teams and SharePoint
  7. Capable of managing a variety of tasks and delivering to tight timelines
  8. Willingness to contribute and adapt to new ideas; identify and initiate process improvements and new ways of working
  9. Ability to pass probity & health screening checks (Working with Children, National Police Check and COVID-19 Vaccination Certificate or a medical contraindication certificate)
  10. Holding and maintaining a valid driver licence and use of a comprehensively insured vehicle
  11. Ability to work flexible hours

Desirable criteria

  • Content creation and design skills for in-house digital marketing material, including social media channels (Canva, Photoshop, Publisher)
  • Working with CRM platforms and social media channels for business purposes
  • Experience in NFP/Charity or Human Services sector
  • Current First Aid Certificate (including valid CPR)

Marketing & Events Officer

Are you an experienced marketing & events professional who enjoys a role with loads of variety? Would you relish a part-time role close to home?

Role

The focus of this hands-on role is to provide exceptional support for: marketing, community engagement and events. Reporting directly to the Community Relations & Communications Coordinator, you will perform a variety of duties, including:

Communication and marketing activation

  • Develop, implement and evaluate communications and social marketing strategies; campaigns, image & branding, external collateral – publications and reports, website, newsletters and social media (service wide and project specific)

Community engagement

  • Develop, implement and evaluate community engagement activities – presentations, forums, launches, stalls and other promotional activities

Fundraising events and activities

  • Develop, implement and evaluate fundraising events and activities

The successful applicant will also have the opportunity to assist other programs when required.

Essential criteria
